Sue Ross Legal are working with an established firm of Solicitors who are looking to recruit a Conveyancing Secretary/ Assistant. You will be joining the Conveyancing team based in the friendly and welcoming Doncaster office and duties will include;

Key Responsibilities
• To provide secretarial support to the Senior Conveyancer, working in a fast-paced environment and dealing with demanding clients.
• To attend with clients who visit the office without an appointment.
• To deal with requests that come in clients for Contract, TR1 and Irrevocable Authority as soon as possible as they will have a courier waiting to take them to the client. You will be responsible for preparing these documents, however if you are unable to deal with them straight away then you must let the Senior Conveyancer know so that she can prepare them as we must ensure that between you both that they are done as soon as possible.
• Where possible (when your workload allows) use your initiative to take the post and/or files and deal with them as appropriate (i.e. if files come in with client care documentation, check the documents provided are correct and if so send out contract documentation if we have had the sales particulars in, request any redemption figures or equitable charge details etc. and when enquiries come in on a sale send the enquiries that we cannot answer to the client for them to answer, send replies over to the Solicitor etc.)
• To carry out OS1, OS2, Bankruptcy searches etc.
• To speak to clients, work referrers, Estate Agents etc. and assist with their queries. Pass on to the Senior Conveyancer any that you are unable to assist or alternatively take a message for the Senior Conveyancer to deal with when she is available.
• Deal with post completion work i.e. stamp duty, registrations, dealing with requisitions raised, deeds to lender, deeds to client and closing files
• When the Senior Conveyancer is off then you will be the holiday/sickness cover and will be required to deal with matters that come in that are within your ability. When there is something that you are unable to deal with then you will be required to print off any emails and put with the relevant files for another Senior Conveyancer to assist with.
• To undertake ad hoc duties for other fee earners as and when required.

Required Skills
• Proven experience working as a Legal Secretary, preferably within Conveyancing/ Commercial Property department.
• Strong knowledge of legal terminology, and document formatting.
• Ability to work independently to a high standard and to effectively prioritise competing deadlines in a fast-paced environment.
• Proficiency in using case management software and MS Office suite (Word, Excel, Outlook, etc.).
• Excellent written and oral communication skills, with a professional telephone manner.
• High standards of client and customer service.
